AI & Automation

Less admin.
More time for your business.

From 3CX AI Reception and connected databases to Microsoft 365 Copilot, ChatGPT, Claude and Perplexity: we help you understand the choices and use the right tools to improve business productivity. Personal guidance, practical demonstrations and support at your pace.

Hands-on help, at your pace

You don’t need to become an AI expert.

The choice of AI tools can feel overwhelming. Customer First Business Solutions Ltd provides personal guidance from the first conversation through to everyday use, helping you make decisions with confidence.

We listen to your priorities, demonstrate relevant options using practical examples and explain the benefits, limitations and ongoing costs. Together, we choose a manageable starting point, help your staff get comfortable and review whether it improves productivity.

The aim is a useful improvement to how your business works, with support when you need it.

Understand the options

Different tools.
The right fit for your business.

AI is not one product. Call handling, connected business data, everyday assistance and research serve different needs. We explain the options in plain English and help you compare them against the work you actually do.

01 / Calls & customer conversations

3CX AI Reception & SIP trunks

For businesses that want callers greeted, understood and directed to the right person or information. We plan conversational call handling, approved answers and a clear handover to your team.

3CX provides the phone system and call handling; SIP trunks connect it to external telephone networks. We assess supported providers, licence requirements and any AI usage costs as part of one practical setup.

02 / Business information & workflows

Database & system integration

For teams that need AI assistance grounded in customer records, service history, product information or other approved business data, rather than repeatedly copying it between applications.

We assess available APIs and connectors, data quality and permissions. Start with controlled lookups and summaries; add agreed updates or actions with validation, logging and approval where needed. Integration is scoped for your systems.

03 / Work in Microsoft 365

Microsoft 365 Copilot

An option for people who spend their day in Word, Excel, Outlook, PowerPoint and Teams. Assess help with document drafts, email summaries, presentations, meetings and working with spreadsheet information.

The benefit is assistance within familiar Microsoft applications. We explain the relevant Copilot product and licence, check access to company information and help staff use it effectively in their actual working day.

04 / A flexible AI assistant

ChatGPT

An option for drafting, brainstorming, summarising information, analysing files and exploring ways to improve everyday processes. Useful when work spans different tasks and you want a conversational starting point.

We help define useful examples, choose suitable business settings and assess available connections to company tools. Outputs and proposed actions are reviewed according to the task and its impact.

05 / Documents & considered drafting

Claude AI

An option to assess for working through detailed documents, developing structured drafts, analysing information and thinking through a complex brief in conversation.

We test it against your own document tasks and preferred way of working. The focus is whether it produces useful, reviewable results for your team; capabilities overlap with other assistants and vary by plan.

06 / Research & source discovery

Perplexity

An option for researching questions, finding relevant web information and preparing an initial overview with links to sources. Useful for gathering background information before a business discussion or decision.

Its research focus helps you follow an answer back to supporting material. Staff still need to check the sources, dates and relevance; citations do not guarantee that a conclusion is correct.

These are options to assess, rather than a ranking or a requirement to subscribe to every product. A combination may suit your business; features, integrations, information access and costs depend on the chosen plan and configuration.

An example workflow

From an enquiry to a clear next step.

Bring AI assistance and clear business rules together, with a person approving the steps that need judgement.

01 · UnderstandA selected enquiry is summarised and checked against the information available.
02 · ReviewYour team checks the customer match, proposed response and any uncertainty.
03 · Take actionAn approved response, record update or support task moves the work forward.

Illustrative workflow. Connections, permissions, licensing and approval steps are agreed for each project; the examples on this page are not features automatically enabled in your existing systems.

Consultancy comes first

From a useful idea to everyday use.

Our strength is understanding your business before choosing the technology. We work with your team to make the change manageable.

  1. 01 · Understand the work

Agree your objectives, look at the current process and identify where time or information is being lost.

  2. 02 · Plan the right fit

Compare relevant options through demonstrations and a clear explanation of benefits, connections, information access and licence costs. Agree a scope and budget you are comfortable with.

  3. 03 · Pilot and measure

Test with a small group and realistic examples. Compare time taken, output quality and exceptions before wider use.

  4. 04 · Train and support

Work alongside your staff with practical training and follow-up support. Agree review responsibilities and refine the setup as confidence and business needs develop.

People stay in control

Useful assistance.
Clear responsibilities.

AI can make mistakes. We plan checks around the effect an incorrect answer or action could have on your business.

How is company information handled?

We agree what information a tool needs, who should be able to access it and the provider settings to review. Retention, data location and use of content for model training depend on the product and contract and are checked before deployment.

Will AI send messages or make changes by itself?

We agree this explicitly for each workflow. Drafts and proposed actions can require staff approval, with uncertain requests referred to a person and a clear way to stop or correct the process.

Can this work with the systems we already use?

We assess your existing applications and available connections first. Some workflows need additional licences, configuration or development; scope and ongoing costs are agreed before implementation.
